Enroll a Worker for Workstation Access

Give a worker their own private FabWise app on their phone, tablet, or computer. Each worker signs in with their face, fingerprint, or device PIN — no passwords to remember or share.


Why it matters

The Workstation is the worker's private FabWise app at workstation.fabwise.app. Unlike the shared kiosk on the shop floor, Workstation lives on the worker's own device — phone, tablet, or laptop. Each worker has their own:

  • Schedule view
  • Jobs and tasks
  • Personal performance summary
  • Messages from supervisors

Workers sign in with a passkey — biometric (Face ID, Touch ID, Windows Hello, Android fingerprint) tied to one specific device. Passkeys are more secure than passwords, can't be phished or shared, and don't need a "forgot password" flow.

Enrollment is a one-time setup per device. After that, the worker taps a button and unlocks with their face or fingerprint.


How it works

  1. You generate a one-time enrollment QR code in the admin panel for a specific worker.
  2. The worker scans the QR code with their device camera (or you send them the enrollment link).
  3. The link opens an enrollment page on their device.
  4. The worker confirms their name and unlocks their device — Face ID, Touch ID, Windows Hello, or fingerprint.
  5. The device is enrolled. From then on, the worker visits workstation.fabwise.app and signs in with their biometric.

The whole flow takes about 2 minutes per worker per device.


Step 1. Open the worker's profile

  1. Sign in to admin.fabwise.app as an account owner or admin.
  2. Go to Users in the left navigation.
  3. Click the worker you're enrolling.

Step 2. Generate the QR code

  1. On the worker's profile, click the Devices tab.
  2. Click Enroll new device (or Generate QR code).
  3. A QR code appears with a 10-minute countdown.

You now have two ways to get the enrollment to the worker:

  • In person: the worker scans the QR code with their phone or tablet camera.
  • Remote: copy the enrollment link below the QR code and send it to the worker (email, text, Slack — whatever you use).

Either way, the worker only has 10 minutes to complete enrollment before the link expires. You can regenerate a new one whenever you need to.


Step 3. Worker completes enrollment

The worker follows the platform-specific guide for their device:

  • Set Up Workstation on iPhone or iPad
  • Set Up Workstation on Android
  • Set Up Workstation on Mac
  • Set Up Workstation on Windows PC

Send them the matching link in your follow-up message.

You can confirm enrollment succeeded by refreshing the Devices tab on the worker's profile — the new device appears under Enrolled Devices.


Important rules

One device per worker, by design. Each worker has exactly one active Workstation device at a time. Generating a new enrollment QR code for a worker who already has a device enrolled deactivates the old one. This is intentional — it keeps the worker's identity tied to a single physical device, so a passkey can't quietly accumulate on phones and laptops the worker no longer uses.

When to re-enroll: the worker got a new phone, lost their old device, or switched from their phone to a laptop. Generate a new QR code; the previous device stops working.

Enrollment links expire in 10 minutes and can only be used once. If a link expires, generate a new one.

Don't share QR codes or enrollment links publicly. Anyone with the link can enroll a device as that worker. Share via private channels only.


Removing a worker's access

When a worker leaves the company, or you need to revoke a lost device:

  1. Open the worker's profile in AdminUsers.
  2. Click the Devices tab.
  3. Find the device and click Remove (or Revoke).

The device immediately stops working for Workstation. If the worker is leaving the company, also change their status to Inactive under the main profile.
