Blue-Collar Scheduling Is a Different Problem

Most employee scheduling software is built for offices and retail — swaps, availability preferences, everyone picking their own hours from a phone.

A production floor usually is not that. Departments run fixed shifts. Day shift starts at the same time every day. The pattern is stable for months, and the exceptions are the interesting part, not the rule.

Software that hands you a blank weekly grid to fill in is solving a problem you do not have, and it makes you re-solve it every week. What a shift-based operation needs is to state the pattern once and have the schedule follow from it.

Three Layers, Not a Calendar You Fill In

1. Schedule template — a weekly pattern. "Day Shift: Monday through Friday, 8:00 AM to 4:00 PM." One row per day of the week, each with a start time, an end time, and a shift type.

2. Department assignment — each department gets one schedule. "Production runs the Day Shift."

3. Shift generation — FabWise creates individual shift records for every worker in that department.

You do not create individual shifts by hand. The schedule does it.

Nobody has to remember to build next week. It is already built.

The Schedule Is What Makes Attendance Mean Anything

A time clock on its own records when people tapped in. It cannot tell you whether that was early, late, or exactly right, because it has nothing to compare against.

The schedule is that comparison. When a worker starts their shift at the kiosk, FabWise finds their scheduled shift for the day and matches them to it. Scheduled 8:00 AM, arrived 8:03 — the system knows that is on time, and it knows it without anyone deciding.

Everything downstream depends on this. Late arrivals, early departures, missed shifts — the exceptions your shift review surfaces exist because there is a schedule to measure against.

Changing a Schedule Is Safe

Schedules change — a department moves to a different start time, a shift type gets added. FabWise handles the three cases differently on purpose:

  • Future shifts are regenerated. The old ones are replaced with shifts matching the updated schedule.
  • Past shifts are not affected. Historical data is preserved — a schedule change does not rewrite what already happened, which is what keeps last month's payroll and job costs intact.
  • In-progress shifts continue. A worker currently on the clock is not disrupted.

That third one matters more than it sounds. Editing a schedule at 10 AM should not knock someone off a shift they are standing in the middle of.

Day, Swing, and Overnight Shifts

Shift types are yours to define. A single-shift operation names one; a plant running around the clock names Day, Swing, and Overnight and points a department at each.

Multi-shift scheduling is where paper and spreadsheets break down first — a worker on swing whose hours cross midnight, a department that rotates, a schedule where "Monday" means two different crews. Naming the shift type is what keeps those straight all the way through to payroll.

Replacing a Paper Schedule or a Spreadsheet

Most shops arrive from one of three places: a printed schedule on a wall, a spreadsheet somebody maintains, or nothing written down at all.

All three share a failure. The schedule and the time record live apart, so nobody can answer "was that shift covered?" without comparing two documents by hand — and by the time anyone does, the week is over and payroll is already out the door.

Generating shifts from a template puts the plan and the record in the same system, which is what makes the comparison automatic instead of archaeological.

Where It Fits

Scheduling is the layer underneath the clock. The kiosk and workstation capture what happened; the schedule is what FabWise compares it to; payroll export is where the reconciled result goes.

An operation can run FabWise without opening the schedule screen again after setup — which is roughly the point.
